Student Election

Student elections at MIT-WPU are a crucial opportunity for our student body to exercise their democratic rights and actively shape the future of our university community. Through these elections, students have the chance to select their representatives who will advocate for their interests, voice their concerns, and work towards enhancing the overall student experience.
The university encourages all students to participate in this democratic process, as it plays a vital role in ensuring that our university continues to evolve in a way that reflects the aspirations and needs of its diverse student population.

Perks and Benefits

Student council will have their special Uniform as council members.
The format of the certificate of appreciation is attached with emphasis on necessary details, further design shall be done by the Media Department
Each student council member shall be presented with a certificate of appreciation from the University at the end of the council term. during the formation of the new student council.
If a (current/former) Student Council Member needs a Letter of Recommendation from E.P/V.C/Registrar/Dean of Student Affairs then the same can be requested through an application which shall be given due consideration by the University authorities.

Powers and Duties of Students Council Members

President

To Lead the student body during their entire tenure for all the events and functions organised by the student body.
Signing / Approving authority for all club events and activities.Responsible for conduct of student clubs on campus.
Leads the Central Executive body of members during NTC, BCS and other main functions and initiatives of the University.
To provide all types of help during the Election of the next Student Council.
Chair of All student Council meetings.
Member of Academic council.Represents students in council meetings.
To communicate with the Registrar, VC and the Executive President related to all student council matters.
To function as the Observer for all discipline committees of all Council Representatives.

Vice President

To assist the President in discharging the responsibilities.
In absence of the President, the VP shall take over all responsibilities of the President.
Decides the Agendas of Meetings.
Drafts and handles all documentations of the council.
Works in coordination with the President for all Meetings.
Helps the Treasurer in preparing the budgets.
Has access to the Council Email and replies to the Emails.

General Secretary

Drafts and writes all Council letters.
Member of Academic Council and represents students during academic council meetings .
Maintain minutes of all Student Council Meetings.
Maintains records of all Club and Forum Activities.
To coordinate communication between higher authorities and other student council members.
To Lead the student body along with President and Vice President of the student council during their entire tenure for all the events and functions organised by the student body.

Treasuree

Treasurer

Helps in preparing a budget for student activities , coordination and control of funds.
Maintains record of all financial transactions.
To discuss / plan the budget in consultation with the VP and President of Student council and allot the budget as per Council recommendations.
Must prepare “Council Activity Calendar” in coordination with the President and Vice President.
Responsible for fair utilisation of budget, timely submission of budget utilisation, expenditure to accounts department. He /she will help faculty coordinators to manage, handle and expenditure of the funds who draw advance for the student club.

Cultural Secretary

Link between all the cultural clubs and forums across the university.
leads all the cultural activities in University.
Must plan budget allocation for clubs with the Treasurer.
Is responsible for attracting sponsorships for student events.
Handles promotional activities for “out-of-college” events.

Sports Secretary

Leads all sports activities arranged by MITWPU on campus and outside campus.
Link between all Sports Groups of the college. Must prepare a Sports Budget with the Treasurer. Handles all college Sports events.
Maintains relations with the Sports Clubs of the University and encourages , ensures students’ participation.

University Magazine Secretary

Coordinate with all Schools / Faculty for preparation of University magazine.
Evaluation of all magazine content for all schools.
Editor-In-chief of all magazines of the university (decides team)

NCC Secretary

Coordination of all NCC activities
Helps the president with the discipline committee and issues.

NSS Secretary

Handling all NSS activities
Ensures that the number of NSS events and volunteers increase considerably. Boosts work of NSS activities

President

Campaigning Guidelines

There is a certain Code of Conduct that applies to campaigning during the elections. They are:

No candidates shall be permitted to make use of printed posters, printed pamphlets or any other printed material for the purpose for canvassing. No physical canvassing will be allowed under all circumstances.
No candidate shall be permitted to carry out processions, or public meetings, or in any way canvass or distribute propaganda material inside or outside the university campus.
No candidate shall, nor shall his/her supporters, deface or cause any destruction to any property of the university, for any purpose or reason, whatsoever. In case of such incident all candidates shall be held jointly and severally liable for such destruction/defacing university property and disciplinary actions will be initiated against that or those candidates.
Use of loudspeakers, vehicles and animals for the purpose of canvassing shall be strictly prohibited.

Result declaration/Investiture Ceremony

Investiture Ceremony will be held to felicitate and announce the Council Members in presence of the official authorities, (i.e. MIT-WPU President, Executive President, Vice Chancellor, Provost, Registrar and Deans) as available.

An official email would be sent to all students of all schools under the MIT-WPU umbrella by Dean Student’s Affairs / HoS, containing the names, post and contact numbers of all the council members. Boards displaying elected member’s names would be put up within a week of the elections. Dean Student’s Affairs shall coordinate with the media for the boards.

Grievance Redressal

During the election process, there shall be a 'Grievances Redressal Committee' constituted by the Vice Chancellor with the Dean (Student Affairs) as its chairman. In addition, there shall be two senior members of the staff (one teaching staff and one administrative staff) nominated by the Vice Chancellor, two out-going student council members (nominated by the Student Council) preferably, one boy and one girl. This committee shall be in place during the election process or till all the grievances received during the process are reviewed and settled.

FAQs

Ques 1: How does the university assure fair practice during voting?

Ans:

The university authorities shall appoint impartial observers. If the candidates have any specific complaint or problem regarding the conduct of the elections; they may bring the same to the notice of the observer. Observers shall also be appointed to oversee the process of nomination for student representatives.

Ques 2: My complaint to the Grievance Redressal Committee was dismissed. What could be the reasons?

Ans:

The Grievance Redressal Committee may dismiss a complaint if:

The complaint was not filed within the time frame prescribed in point above.

The complaint fails to state a cause of action for which relief may be granted.

The complaint has not and/or likely will not suffer any injury or damage.

Ques 3: Is there a list of Student Council positions? Are positions added or removed?

Ans:

The different positions in the student council that need to be selected are as follows. Every year these positions may be expanded as per the requirement of the university depending upon student strength.
